Connecting Inquiries, Custom Quotations, and Warehouse Inventory for an Architectural Solutions Firm

An architectural solutions firm streamlined its sales and warehouse operations using Salesforce Sales Cloud. By automating regional lead allocation, integrating a custom quotation engine, and centralizing inventory tracking across 3,000+ SKUs, the company accelerated made-to-order estimations, improved stock visibility, and reduced material wastage through intelligent cut-piece tracking.

Business challenge

The client is a specialized architectural solutions and design-engineering partner. Unlike standard material dealers, they work closely with leading architects, interior designers, and project management consultants (PMCs) on high-profile developments, including star-rated hotels, airports, showrooms, luxury corporate offices, and premium villas. Because every project is bespoke and made-to-order, their growing business ran into several daily operational bottlenecks:

  • Uncoordinated Inbound Inquiries Across Digital Channels: Inquiries poured in continuously from the company’s website, digital campaigns, and social channels like Instagram from across India, Southeast Asia, and the Middle East. Because leads were collected manually, routing them to the right regional sales teams (North, South, East, West, Global) took hours, resulting in delayed initial calls to busy architects and designers.

  • Time-Intensive, Repetitive Quotation Bottlenecks: Every architectural installation is completely made-to-order. Pricing depends on precise site measurements, material grades, color profiles, structural fittings, and brackets. Architects frequently request design revisions and alternate material specs. Preparing a single quotation and recalculating it each time an architect modified dimensions took hours of manual work. This bottleneck severely capped the number of active proposals the sales team could generate in a day.

  • Warehouse Blind Spots Across 3,000+ SKUs: Once an order was confirmed, production required precision fabrication like cutting, polishing, and finishing internal stock while ordering complementary raw components from external vendors. The warehouse team had to manage over 3,000 SKUs (covering materials, fittings, structural brackets, lighting, and specialized hardware) without a centralized system.

  • Wastage and Unused Cut Material: Many architectural materials are issued and cut to custom site dimensions. In the absence of a live inventory tracker, warehouse staff had no easy way to record or locate leftover, off-cut materials from previous jobs. This led to unnecessary re-orders of fresh sheets and accumulated dead stock.

The Zime solution

We partnered with their leadership team to design an end-to-end digital operations platform on Salesforce. Rather than treating CRM and warehouse operations as isolated functions, Salesforce was configured to connect the dots between digital lead capture, rapid design estimation, and warehouse material availability.

  • Automated Regional Lead Routing: Built direct integrations with the company website, Instagram, and web forms. Leads from all regions are automatically captured in Salesforce and instantly assigned to the appropriate regional sales team (North, South, East, West, Global), ensuring immediate follow-up.

  • Integrated Custom Estimation & Quotation Engine: We integrated the client’s custom estimation calculation logic directly inside Salesforce. Instead of building quotations manually on spreadsheets, sales teams could select required product dimensions, finishes, and bracket options with quick dropdowns. When an architect requested a size or specification change, revised quotations were re-calculated and generated in minutes.

  • Comprehensive Inventory & SKU Tracking Module: Configured a dedicated warehouse and supply chain module within Salesforce. The module cataloged all 3,000+ SKUs, including color variants, mounting brackets, light profiles, and hardware fittings, giving operations and sales teams real-time visibility into stock availability before committing to project timelines.

  • Off-Cut & Remnant Material Tracking: Built specialized tracking for dimension-based cut materials. When a sheet or profile was cut for a project, the exact remaining dimensions were automatically logged back into the warehouse inventory. Sales and production teams could search and utilize available off-cuts for smaller project requirements, directly minimizing material wastage.

Implementation approach

• Step 1: Process Mapping from Inquiry to On-Site Delivery: Mapped the full lifecycle of an architectural project alongside sales, design engineering, and warehouse teams, identifying friction points between design changes, estimating, and raw material sourcing.

• Step 2: Web & Social Lead Integration: Set up real-time web-to-lead and social lead capture, configuring territory-based assignment rules so that inbound architect queries immediately reached the local regional manager.

• Step 3: Integrating the Estimation Logic into Salesforce: Integrated their custom pricing models and formula sheets directly into the Salesforce deal workflow, enabling sales engineers to configure bespoke architectural products and output standardized client proposals.

• Step 4: Centralizing the 3,000+ SKU Warehouse Catalog: Cleaned, categorized, and uploaded the entire catalog of over 3,000 SKUs into Salesforce, mapping fittings, finishes, and sub-components to parent architectural systems.

• Step 5: Cut-Piece & Material Consumption Logging: Implemented simple operational logging rules for warehouse staff to record raw material consumption, supplier purchase orders, and remaining remnant stock upon project dispatch.

Results & measurable outcomes

Dramatic Reduction in Quotation Turnaround: Automating custom estimation cut proposal preparation and revision time significantly, allowing sales engineers to submit multiple design iterations in a fraction of the time and respond faster than competitors.
Zero Lead Leakage Across Regions: Inquiries from Instagram, website forms, and digital campaigns were automatically captured and routed within minutes, eliminating manual lead allocation and preventing inquiries from going cold.
Complete Live Visibility Across 3,000+ SKUs: Sales and operations teams gained instant visibility into on-hand stock and supplier lead times, preventing inaccurate delivery commitments to architects and contractors.
Significant Reduction in Material Wastage: Tracking cut-piece dimensions and remnants allowed the workshop to repurpose leftover high-value materials for future orders, mock-ups, and smaller requirements, reducing scrap rates and unnecessary procurement.
Unified View from Lead to Execution: Leadership established complete operational transparency across regional sales velocity, active project proposals, pending factory orders, and warehouse inventory levels.
